Privacy Policy

This policy explains what information Syncrone collects, why we collect it, how we use and protect it, and the choices you have. It applies to Syncrone Notetaker (our meeting note-taker at notetaker.syncrone.app) and Syncrone PM (our project management app at app.syncrone.app), together “Syncrone”, “we”, “us”.
1. Information we collect
Account information
When you create an account we store your name, email address and a securely hashed password. If you sign in through an identity provider, we receive your email address and basic profile information to identify your account.
Content you provide
Syncrone Notetaker records and transcribes the meetings you ask it to join, and stores the resulting audio/video, transcripts and summaries in your account. Syncrone PM stores the projects, tasks, documents and files you create.
Data from Google
If you connect your Google account, we access certain Google data on your behalf as described in the next section. You are always in control of this connection and can disconnect it at any time.
Technical information
We collect basic technical data needed to operate the service securely — for example IP address, browser type and timestamps of requests — and use it for security, debugging and abuse prevention.
2. Google user data
When you connect Google Calendar to Syncrone Notetaker, you grant a read-only consent. We request only the narrowest scopes needed and use them solely to provide the feature you enabled:
- Email address & basic profile (
openid,userinfo.email) — to identify which Google account is connected. - Calendar events, read-only (
calendar.events.readonly) — to show your upcoming meetings and know when to send the note-taker to a scheduled call. - Calendar list, read-only (
calendar.calendarlist.readonly) — to let you choose which of your calendars to sync. - Meet spaces, read-only (
meetings.space.readonly) — to read the details of a Google Meet space for a meeting you are recording.
We never request write access to your calendar, and we do not modify, create or delete your Google Calendar data.
3. How we use information
- To provide and operate Syncrone Notetaker and Syncrone PM — recording and transcribing meetings you schedule, showing your calendar, and managing your projects.
- To identify speakers in a meeting when you have enrolled a voice sample or provided participant details.
- To secure the service, prevent abuse, debug problems and maintain reliability.
- To communicate with you about your account and important service changes.
We do not use your meeting content or Google data to train advertising models, and we do not sell your personal information.
4. How we share information
We share information only as needed to run the service:
- Infrastructure providers that host our systems and process data on our behalf under confidentiality obligations (for example cloud hosting and, for transcription and summarisation, Google Cloud AI services).
- Within your organisation — recordings and transcripts are visible to members of your tenant according to your sharing settings.
- Legal reasons — where required to comply with applicable law or to protect the rights, safety and security of our users and the service.
We do not sell your data or share it with third parties for their own marketing.
5. Data retention
We keep your account data and content for as long as your account is active. Recordings, transcripts and project data remain until you delete them or delete your account. When you disconnect Google, we stop accessing your Google data and delete the stored authorisation tokens. When you delete your account, we delete your content within a reasonable period, except where we must retain limited records to comply with the law.
6. Security
We protect data in transit with TLS, store credentials and access tokens using strong hashing and encryption, and restrict access to production systems. Each customer’s data is isolated at the database level. No system is perfectly secure, but we work to protect your information using industry-standard measures.
7. Your choices & deletion
- Disconnect Google at any time from Syncrone Notetaker’s settings; this revokes our access and deletes the stored tokens.
- Review or revoke access directly with Google at myaccount.google.com/permissions.
- Delete content or your account from within the app, or by contacting us at the address below.
- Access & correction — contact us to request a copy of your data or to correct it.
8. Changes & contact
We may update this policy from time to time; we will change the “last updated” date above and, for material changes, notify you in the app. If you have any questions about this policy or your data, contact us at info@syncronix.io.
